Policy Statement LMM Structure

PREAMBLE

London Muslim Mosque is a member-based organization with multiple departments created to achieve various goals and objectives. A clear understanding of the accountability structure is key to ensuring cohesion of all departments and appropriate oversight.

POLICY

  • The Board of Directors of London Muslim Mosque is accountable to the Members London Muslim Mosque

  • Policy Statements are enacted by the Members to govern the activities of the Board and all operations

  • All departments are accountable to the London Muslim Mosque Board of Directors

  • The Officer positions of the Board of Directors are in place to serve the Board of Directors and the London Muslim Mosque in ensuring good governance of the organization. Officers do not hold the authority to take independent action except that which may be delegated to them by the Board of Directors through the bylaws, policy, or specific resolution by the Board of Directors.

  • Chair

    • Maintain efficient and effective administration of the affairs of the London Muslim Mosque Board including supervision of other officers in discharging their duties

    • Call and preside at all meetings of the Board of Directors and Members (unless a conflict-of-interest requires them to remove themselves from a meeting or portion there-of)

    • Ensure appropriate agendas are set for all Board of Directors and Member Meetings

    • Ensure all such meetings are operated in a fair, objective manner in compliance with the by-laws and any relevant policies 

    • Ensure all directives and resolutions of the Board of Directors and Members are put into effect.
      Ensure all pertinent information is disseminated to all Directors and Members as appropriate.

    • Carry out any other such duties as directed by the Board of Directors.

    • Be the main contact for key leaders (Imam, Operations Managers, Principals)

  • First Vice-Chair

    • Act as chair in the absence of the Chair

    • When acting as chair exercise all duties of the Chair as documented here or in the by-law or policy

    • Perform such duties as are delegated by the Chair or the Board of Directors

  • Second Vice-Chair

    • Act as chair in the absence of the Chair and the First Vice-Chair

    • When acting as chair exercise all duties of the Chair as documented here or in the by-law or policy

    • Perform such duties as are delegated by the Chair or the Board of Directors

  • Secretary

    • Ensure all of the business of the Board of Directors and Members is appropriately documented, usually through the completion of minutes of meetings 

    • Ensure all appropriate correspondence on behalf of the Board of Directors and Members is completed

    • Ensure the time and place of all Board of Director and Members meetings are appropriately posted with appropriate notice as defined in the By-Law.

    • Ensure safe storage and maintenance of all records of the Board of Directors and Members

    • Perform such duties as are delegated by the Chair or the Board of Directors

    • In the absence of the Secretary, the Board of Directors shall appoint a person by Resolution to perform their duties

  • Treasurer

    • Ensure that all London Muslim Mosque monies are accepted, held, and disbursed in a manner that is accountable, transparent, and in compliance with all legislation, the organization’s by-laws, the organization’s policies, and any Resolutions of the Board of Directors or Membership

    • Ensure appropriate maintenance of all financial records in compliance with generally accepted accounting principles

    • Perform such duties as are delegated by the Chair or the Board of Directors

    • In the absence of the Treasurer, the Board of Directors shall appoint a person by Resolution to perform their duties
